  • A good resignation letter only needs your resignation, your last day, a brief thank-you and a handover offer.
  • Give the AI tool exact facts and strict rules on length and tone, then edit the draft so it sounds like you.
  • Notice rules differ: two weeks is a US custom, while the UK sets a one-week legal minimum after a month in the job and contracts often require more.
  • When leaving a difficult manager, keep the letter short, neutral and free of complaints.
  • Send a separate, warmer goodbye email to your team near your last day.

An AI resignation letter takes about ten minutes: gather your last day, notice period and manager's name, paste them into a clear prompt, then edit the draft so it sounds like you. Keep it short, positive and factual, and check your notice period against your contract before you send anything.

What does a resignation letter need to say?

Less than most people think. A resignation letter is a record, not a speech: it confirms that you're leaving and when.

  • A clear statement that you're resigning, and from which role
  • Your last working day (or how much notice you're giving)
  • A brief thank-you, even a single line
  • An offer to help with the handover
  • Optional: a question about final pay, unused vacation or benefits

Everything else (why you're leaving, where you're going, what went wrong) is optional and usually better left out. Here's how the emphasis shifts by situation.

Situation Lead with Leave out Ideal length
New job Last day and handover offer New employer and salary 100 to 150 words
Short notice The date and one line on the timing Long justifications 80 to 120 words
Leaving on good terms Specific thanks and a handover plan Praise you don't mean 150 to 200 words
Difficult manager Facts and dates only Complaints, blame, sarcasm 60 to 100 words
Goodbye email to the team Thanks and how to stay in touch Reasons for leaving 80 to 150 words

What do you need before you prompt?

Have these details ready. The AI can't guess them, and a wrong date makes a polished letter look careless.

  • Your manager's name and your exact job title
  • Your notice period, from your contract, offer letter or employee handbook
  • Your intended last working day
  • One or two things you genuinely appreciated (a project, a skill you built, a person)
  • Handover notes: open projects, who could take them, where the files live

Check the notice rules where you work. In the US, most jobs are at-will, meaning either side can end the job without notice. Two weeks is a professional custom rather than a federal rule, though a contract, union agreement or company policy can require more. In the UK, GOV.UK's guidance on giving notice says you must give at least a week once you've been in the job for more than a month, and many contracts set a longer period.

One more rule: don't paste confidential details into a chatbot, such as client names, salary figures or the terms of your new offer. The letter doesn't need them, and depending on your settings, some AI tools keep conversations.

How to write a resignation letter with AI in 5 steps

  1. Pick your tool. Any mainstream chatbot works. If you're choosing, our comparison of the best AI assistants in 2026 covers the free plans.
  2. Paste the master prompt below with your details filled in. You should get a 120 to 180 word draft with your last day stated early.
  3. Add a situation prompt as a follow-up if your exit is unusual, such as short notice or a tense relationship.
  4. Edit for your voice. Replace any phrase you'd never say out loud, then read the letter aloud once.
  5. Verify and send it the right way. Check the date, title and name. Tell your manager in person or on a call first, then email the letter the same day so there's a written record.

Expected result: a short, accurate letter you could forward to HR without changes, ready in 10 to 15 minutes.

The master prompt for an AI resignation letter

This prompt works in ChatGPT, Claude, Gemini or Copilot. Replace each item in parentheses with your own details, then paste the whole thing.

Write a resignation letter for me.

Context:
- My name: (your name)
- My job title: (your title)
- Company: (company name)
- Manager's name: (manager's name)
- Notice period: (for example, two weeks or one month)
- Last working day: (date)
- What I appreciated: (one or two specific things)
- Handover: (open projects and who could take them)

Rules:
- 120 to 180 words, plain and professional
- State my resignation and last day in the first two sentences
- One sincere line of thanks, no exaggeration
- Offer to help with the handover
- Do not mention my reasons for leaving or my next employer
- Avoid cliches like "new chapter" or "bittersweet"
- Use (US or UK) English and format it as an email with a subject line

If the first draft feels stiff, follow up with: "Give me a warmer version and a more formal version." Keep the one that sounds like you.

AI prompts for resignation letters by situation

Send these as follow-ups after the master prompt, or paste them into its Rules list.

Leaving for a new job

I'm leaving for a new role. Keep the letter forward-looking and positive. Don't name the new company or mention pay. Add one sentence offering to document my main processes before I go.

If your manager responds with a counteroffer, don't improvise. Our guide to handling counteroffers and raises has scripts for that conversation.

Resigning with short notice

I can only give (number) days of notice, which is shorter than usual. Write a respectful letter that states my last day clearly, acknowledges the short timing in one sentence without over-apologizing, and offers specific handover help: (list tasks). Don't explain my personal reasons.

Reread your contract before you send it. In the UK, giving less notice than your contract requires can put you in breach, so ask whether your employer will agree to an earlier date. Acas explains notice when resigning, including agreeing a different arrangement.

Leaving on good terms

I'm leaving on great terms and want to keep this relationship. Add two specific thank-yous: (for example, trusting me to lead the spring launch) and (for example, your feedback on my presentations). Keep the tone warm but professional and under 200 words. End by saying I'd like to stay in touch.

This is also a good moment to ask for a reference. If your manager is happy to help, our guide on asking for a LinkedIn recommendation makes the request easy to say yes to.

Leaving a difficult manager

I'm leaving a tense working relationship. Write a neutral, factual resignation letter: my resignation, last day and handover offer only. One polite closing line, no criticism, no emotion, under 100 words. Then list any sentence that could read as passive-aggressive so I can remove it.

Keep this letter boring on purpose, because it may sit in your HR file for years. Raise serious concerns such as harassment or unpaid wages separately through HR or an adviser. In the UK, if you feel you have no choice but to resign because of how you were treated, read Acas's resignation letter guidance first, since that situation can change your notice and your rights.

What prompt works for the goodbye email to your team?

Your goodbye email goes out near your last day, after your manager has told the team. It's lighter than the letter and focuses on people, not logistics.

Write a short goodbye email to my team. I'm leaving (company) on (date) after (time in role) as (job title). Thank the team for (one or two specific things), say who will take over my work (names or roles), and share how to reach me: (personal email or LinkedIn URL). Warm and upbeat, under 150 words, no reasons for leaving, no inside jokes outsiders won't get.

For other exit messages, like replying to HR, our professional email prompts cover the formats.

A two weeks notice letter template you can edit

Prefer to skip AI? This resignation letter template works as a two weeks notice letter in the US, or with any notice length in the UK.

Subject: Resignation, (your name)

Dear (manager's name),

Please accept this letter as formal notice of my resignation from my role as (job title) at (company). My last working day will be (date), (notice period) from today.

Thank you for the support and opportunities over the past (time in role). I've especially valued (one specific thing).

I'll do everything I can to make the handover smooth, including documenting my current projects and briefing (colleague or team). Please let me know how I can help most.

Best regards,
(your name)

Common mistakes when using AI for a resignation letter

  • Sending the first draft. Stock phrases like "it is with a heavy heart" make the letter feel generic. Rewrite at least the thank-you line yourself.
  • Trusting the AI's date math. Chatbots can miscount days or weekdays. Count to your last day yourself.
  • Explaining too much. Reasons, complaints and new salary details give your employer nothing useful and can follow you.
  • Resigning before the offer is final. Wait for the signed offer and any background checks to clear.
  • Skipping the practical questions. Ask about final pay, unused vacation (holiday, in the UK) and when benefits end, in the letter or a follow-up email.

Frequently asked questions

Is it OK to use AI to write a resignation letter?
Yes. A resignation letter is a short, factual document, and AI is good at drafting those quickly. The key is giving it accurate details and editing the result so it sounds like you. Your manager cares that the letter is clear, correct and polite, not how you produced it. Just avoid pasting confidential company or client information into the tool.
Do I legally have to give two weeks notice in the US?
Usually not. Most US jobs are at-will, so there's generally no legal requirement to give notice, but two weeks is the widely expected professional courtesy. An employment contract, union agreement or company policy may require more, and some employers only pay out unused vacation when you give proper notice. Check your handbook before you decide on a date.
Should I resign by email or in person?
Do both when you can. Tell your manager in person or on a video call first, so they don't hear it secondhand, then send your letter by email the same day. The email gives both of you a dated written record of your notice, which helps avoid disputes about your last day. If your manager is unreachable, send the email and ask for a short call.
Should I say why I'm leaving in my resignation letter?
No. You can leave your reasons out entirely, and in most cases you should. A resignation letter goes into your employment file, so keep it to the facts: that you're resigning, your last day and your handover offer. If you want to share feedback, an exit interview or a private conversation is a better place, and you choose how much to say.
Can my employer tell I used AI to write my resignation letter?
Possibly, if you send the first draft unedited, because AI writing often leans on stock phrases. That rarely matters for a resignation letter, since nobody expects literary flair. Still, rewriting the thank-you line in your own words makes the letter feel personal, and reading it aloud once will catch anything that sounds stiff or unlike you.
What if my employer asks me to leave right after I resign?
It happens, especially in sales or roles with access to sensitive data. In the US, an at-will employer can usually end the job immediately, and whether you're paid for the notice period depends on company policy and state rules. UK employers often use payment in lieu of notice or garden leave (paid time at home while still employed). Plan your finances for an early exit.

The bottom line

An AI resignation letter works best when you treat the chatbot as a fast first drafter, not the author. Give it the facts, set strict rules on length and tone, and add the situation prompt that matches your exit. Then check the dates against your contract, tell your manager first and send the letter as your written record.
